Important Information
Documentation Deadlines
INVITATIONS
Invitations should be sent out no later than 16 weeks before your wedding date. Due to the unique nature of destination events, Full Moon suggests sending invitations out prior to the 14 weeks deadline.
Full Moon requires all clients to have an invitation consult with the Reservations Manager prior to releasing a website, sending out invitations and/or Save the Dates.
In order to facilitate excellent customer service, Full Moon Suggests that the wedding invitation contain three parts:
General invitation concerning the facility, the date, and the nature of the event.
RSVP card including # of guests attending, # of kids, any dietary restrictions (including vegetarian), and specific entrée selections (if plated service).
An information card (see text in your contract or examples from the Reservations Manager) for “on site guests” or “off site guests”.
Some clients find it useful to do a second round of invitations including an RSVP card with a later RSVP date. If this is an interest to you we suggest your first round is earlier than the 16 weeks stated above.
MEAL PACKAGE GUARANTEE (MPG)
The MPG is a Word document that only contains the unconfirmed reservations and the amount of cafe meals the guests are suppose to be a part of.
You will have to decide if you want to remove these guests from the event or guarantee payment for the guests listed on the MPG.
You will receive this document on your Final Count Day (FCD) from your Event Manager.
MEAL REPORTS (MR)
The MR is an excel document that contains the number of people attending each cafe meal. The tabs at the bottom of this document will take you to each meal.
This document also allows you to see your guests' reservation status. You will compare the MRs to your meal counts and we will determine the number of people to order food for.
This will be sent to you on your Final Count Day (FCD) by your Event Manager.
MENU SELECTION FORM (MSF)
The MSF is designed to help you create a comprehensive menu for your entire event at Full Moon Resort.
The MSF consists of drop down menus and text fields.
This is a Word document and is not included in this google document as it is designed for the kitchen's use to produce your meals.
The completion of this document is due at least four weeks prior to your scheduled tasting.
PRODUCTION NOTES (PRD)
The PRD is what every employee will work from throughout your event. Items in red are unresolved and will need to be updated.
Please make every effort to resolve red items as promptly as possible by completing the Wedding Production Questionnaire (WPQ).
As we finalize details, items will be changed from red to black. Items in black are resolved and will not be reviewed again. Please confirm they are accurate and final.
The PRD is a Word document and is not included in this google document, as it is designed for the production of the event.
ROOM ASSIGNMENT CHART (RAC)
The RAC is used by the Front Desk staff and the client to assign guests to accommodations at Full Moon Resort.
Reservations are set up by the Front Desk staff based on the client completed RAC.
Full Moon requires a first draft of the Room Assignment tab to be submitted no later than 10 weeks prior to your wedding date.
Please allow up to two weeks for reservation processing after your submission.
RSVP
RSVPs should be received back at least 12 weeks before your wedding date. RSVP cards should include # of guests attending, ages of guests under 21 years, any dietary restrictions (including vegetarians), and specific entree selections if plated dinner service.
Full Moon does not recommend listing vegetarian as an entree option if you are only providing the complimentary 10% included in your wedding package. From our experience vegetarians will inform you of their needs through the dietary restrictions section of the RSVP.
Full Moon requires your invitations and RSVP card to be reviewed and approved by the Reservations Manager prior to them being printed or sent out to guests.

SCHEDULE (SCHD)
The SCHD is a Word document which lists the times and locations of your events.
This document will be posted at the Front Desk for the duration of your event. Feel free to look over this document and customize as needed.
The finalization of this document is due by your Final Count Day (FCD).
TABLE CHART (TC)
The TC is used to place guests at specific tables within your floor plan of your reception. This document ensures guests are seated, served and any special needs are met.
Please make sure all allergies, dietary concerns or restrictions, important relationships, and mobility concerns are listed.

The layout of your reception is designed in consultation with your Event Manager.

The WPQ is used to finalize details pertaining to your event throughout the planning process. The completion of this document is due by your Final Count Day (FCD).
FINAL BILL (FB)
The Final Bill is an excel document that consists of all contractual charges and any other upgrades you have added since the contract.
All listed charges must be paid with a certified bank check or cash.
Credit cards and personal checks are not accepted for the payment of the final bill. This bill will not include your accommodation or cafe meal charges. These charges will be listed on your front desk invoice.
You will receive this bill on your Final Count Day (FCD); however, payment is not due until your arrival.
Policies
Subject to the terms of the Contract, which shall control in the event of a conflict with this Addendum
Please review the following policies and notify your Event Director with any questions or concerns.
ALCOHOL
Personal-stock alcoholic beverages (BYOB) are restricted to private accommodations. At no time is BYOB permitted in, or in the vicinity of, any of the following function areas: Roadhouse, Barn, Campfires, Cafe, Pavilion, Lobby or Porches of the Valley View House, the porches of Northern Lights Lodge or at the swimming pool. "Tail-gating" in the parking lots or drinking in groups with personal stock alcohol on the lawns or fields is not allowed. Coolers, kegs or any other containers that would hold alcoholic beverages for "group consumption" are not permitted on any of the lawns or fields. Note that this policy will be enforced by Full Moon Resort security and management. Please notify your guests prior to arrival.
Minors (under 21) are not permitted to consume alcoholic beverages. Parents, guardians, relatives or friends are not permitted to provide alcoholic beverages to minors. Providing alcohol to guests under the age of 21 is illegal and will not be tolerated.
Bar staff may require ID for proof of age. Any guest who cannot provide proof of age will be considered a minor and will not be served.
New York State law prohibits alcohol to be served to any intoxicated individual. Bar staff will refuse service to any individual at their sole discretion. If other guests give alcoholic beverages to an individual after he/she has been “cut off”, the parties involved will be asked to leave and security will escort them from the premises.
All alcohol must be served by Full Moon Resort staff, in order to insure that underage guests do not have access to the alcoholic beverages. The following services are not permitted: Wine bottles, shot glasses, alcoholic beverage party favors (gifts to guests) placed at tables. Ice "luges", champagne fountains, “shot-skis”, drinking “games”, or any other activity that would encourage excessive drinking.
Liquor, beer and wine selections are listed in “Bar Selections” on the catering pages of Full Moon’s website. Full Moon Resort cannot procure or provide beverages other than those on this listed inventory.
Full Moon Bar Staff and Security will make every effort to resolve any conflicts or concerns about these policies in a calm and respectful manner. Full Moon reserves the right to remove guests from the premises and/or notify law enforcement, as needed, in the event reasonable resolution can not be achieved.
ACCOMMODATIONS
Full Moon does not provide daily housekeeping services to guest rooms. All accommodations are fully prepared prior to check in. Housekeeping services are not provided during the course of the stay. Extra towels may be obtained from the Front Desk as needed.
Full Moon does not provide Cots or Cribs.
PETS: With the sole exception of the wedding couple (no exceptions), pets are not allowed. The wedding couple is allowed to have one dog in their guest room, which must be one of the following cottages: Evergreen, Mountain View, Night Sky. The dog must be leashed at all times when on the grounds and is not allowed in lodges or where food and/or beverages are being served. The Reservations Manager must be notified with the submission of the Guest Information Form if the couple intends to bring a dog. Finally, the couple is responsible for any damages - as solely determined by the Housekeeping Manager.
Smoking in guest rooms and common rooms is not allowed. If it is determined that guests have smoked in their accommodation, a $150.00 cleaning fee will be applied to the bill.
A complete listing of all facility policies will be included in an e-mail confirmation sent to all guests upon confirmation of reservation.
ASSIGNED TABLES
The facility requires assigned tables for the wedding dinner (not specific seating.)
BBQ/ARRIVAL DINNER
If applicable, it is understood that all on-site, overnight guests must be invited to this function and included in the guest count.
CAMPFIRE
Full Moon will supply a complimentary campfire at the BBQ, if applicable.
BYOB is not allowed at campfires.
Campfires are not allowed following the Wedding Event.
Campfires will be extinguished by Full Moon Staff at the end of scheduled bar service
The location of the campfire is always at the location of the BBQ.
Music at campfires is limited to non-amplified acoustic guitars/voice. No hand drumming is allowed.
CHILDREN
Children must be supervised by a responsible adult at all times. No child may be left alone in a room, even with use of a baby monitor.
CHINESE LANTERNS
Due to fire hazard and Forest Preserve regulations, airborne Chinese Lanterns are prohibited from use at Full Moon Resort.
CLOSING TIMES
It is agreed that the closing times of events (see above) will be adhered to by all parties.
DAMAGE
In the event that it is determined that damages to the facility or equipment have occurred during the course of the event, Full Moon will make every effort to collect the cost of repair from the responsible party. If the responsible party is not apparent, or if they are unavailable or unwilling to provide compensation, the Client is responsible.
DECORATIONS
If ladders are required for installation of decorations, and the client has not hired an insured contractor, Full Moon will provide set up assistance at the rate of $50/hr. No uninsured individuals are permitted to use extension ladders.
Full Moon has very limited refrigeration space, and is not able to accept flowers for storage in a refrigerated location.Glitter/Confetti: Due to excessive clean up factors, FMR charges a $500 clean up fee in the event that Client utilizes Glitter or Confetti in any interior spaces.
FACILITY EXCLUSIVE POLICY (IF APPLICABLE)
In the event of a facility exclusive or "limited facility exclusive" booking, Full Moon reserves the right to, at its discretion, conduct tours and tastings, receive deliveries, accept visits from general public, and use buildings and facilities for purposes that do not interfere with the event.
FACILITY VISITS & TOURS
Full Moon welcomes the Client and their families to visit the facility in advance of the wedding. In order to provide the best customer service, it is required that any such visits must be scheduled with the Event Director at least a week in advance.
FIREWORKS
Fire Works are permitted only under contract with licensed and permitted contractors
GOLF CARTS
Golf Carts are not for use by guests.
Golf Cart rides are offered to/from the ceremony location (in the lower field/grove only) for guests specifically designated by the client. (April to November only.)

HOUSEKEEPING
All accommodations are fully prepared prior to check in. Housekeeping services are not provided during the course of your stay. Extra towels may be obtained from the Front Desk as requested.
INCLEMENT WEATHER
At its sole discretion, Full Moon may elect not to provide any outdoor PA systems or electricity for Cocktail Hours or Ceremonies. In addition, the set up location (indoor or outdoor) for the Cocktail Hour is entirely at Full Moon’s discretion. The wedding couple will indicate their preference regarding the Ceremony site to the Event Manager within 120 minutes of the Ceremony.
INAPPROPRIATE OR ABUSIVE BEHAVIOR
Guests are expected to conduct themselves in a respectful manner at all times. Harassment, vandalism, violence or any other illegal or offensive conduct is not permitted and, if observed, FMR reserves the right to respond with security and/or notify law enforcement at their sole discretion.
INTERNET
Wifi Service is available in the hotel lobby and throughout most of the facility
LATE NIGHT BAR CLOSING
It is understood that bars will end service at the time listed in the Itinerary above, with no alteration or extensions possible. The Client is required to have any music at the function end promptly at this time as well. The party will have a thirty minute "grace" period to exit the premises following the listed closing time, after which time, the facility will be closed by management.
LAWN GAMES
Full Moon Resort does not provide lawn games. If the Client would like to provide any such games (badminton, volleyball, croquet, ball games, etc), set up is limited to the plentiful and spacious fields at the resort. Under no circumstance are set ups allowed on the front lawns of the Inn (Valley View House) or Northern Lights Lodge. Playing catch or Frisbee is acceptable on all lawns throughout the facility.
MUSIC VOLUMES
At all events/functions are at the sole discretion of the Event Manager.
OPEN FLAMES
Open flames of any kind are not allowed in guest accommodations or common rooms.
At functions (BBQs, Receptions, After Parties) at the Pavilion, Barn, Roadhouse or other locations, LED votive candles are supplied by Full Moon Resort.
Open flame candles are allowed by special client request at Receptions only. They are not allowed at BBQs or After Parties.
If an open flame request is granted for a wedding reception and votive candles are used, "tea lights"(maximum one inch height) must be used and supplied by the Client. Client must also supply votive holders at minimum of one inch taller than the candle height.
Any larger candles must be contained in glass, with the surrounding container a minimum of three inches taller than the actual candle.
Any such open flame candles may be placed at the center area of dining tables only - and are not allowed on ledges, steps, floors, bars, buffets, etc, all of which must be LED candles only.
ON THE GROUNDS
Tiki torches are allowed by special request (must be supplied by client and installed by Full Moon Resort staff.) Decorating charges apply (See Section VII).
Luminary bags are not allowed with open flame. They must have LED candlelight.
Floating candles of any kind (open flame or LED) are not allowed on the ponds or swimming pool.
Sparklers are allowed by special request only at Full Moon’s discretion. If allowed, Client must comply with the Event Manager’s instructions.
PA SYSTEMS
All PA systems supplied by Full Moon are designed for recorded music only (iPod supplied by Client).
Any live musicians or DJ’s with turntables or computer set ups (whether paid contractors or friends) must supply their own PA system and a qualified audio technician for performances at the BBQ, Ceremony, Cocktail Hour, Reception or After Party.
Full Moon does not provide audio technicians or PA operators for any aspect of the Event. Recorded music played through any of Full Moon’s PA systems will not require an audio technician.
PERSONAL BELONGINGS
Any personal belongings, including decorations, cake topper, games and equipment, etc. must be removed from the facility prior to departure. Full Moon cannot take responsibility for items left following the event. Please inform any outside contractors of this policy also.
PERSONAL STOCK FOOD & BEVERAGE: Clients may not place personal stock food and beverages (alcohol/non-alcohol) on the porch/lobby/library areas of the Inn (Valley View House) or Northern Lights Lodge.
PERSONAL MOTORIZED VEHICLES
For liability and legal reasons, it is strictly prohibited for wedding guests to supply personal motorized vehicles (golf carts, mini-bikes, go carts, etc) on the premises.

RECEPTION LINES
Following the ceremony, the wedding couple is requested to move promptly to the Cocktail Hour area for congratulations and reception by guests. It is Full Moon’s experience that a reception line at the ceremony site impacts food presentation.
RESTRICTED AREAS
Guests are not permitted in any "staff or employees only" areas for any reason at any time.
RV & CAMPING VEHICLES
Full Moon Resort does not allow RVs and camping vehicles at wedding events.
STORAGE (Food, Beverage, Flowers)
Full Moon does not supply food preparation areas or facilities for the storage of food, beverage, or flowers.
Clients may not place personal food and beverages on the porch/library areas of the Valley View House or Northern Lights Lodge.
SWIMMING POOL
Never swim alone. At least two adults must be present when swimming. Children under the age of sixteen must be supervised at all times.
In the event of an emergency, notify the Front Desk and contact help as soon as possible.
Please observe hours of operation (dawn to dusk)
Alcoholic beverages are not permitted in the pool area
TELEPHONE
A guest telephone is located in the Valley View House library with complimentary local and long distance service to anywhere within the United States. Please use a calling card for international calls.
NOTE: There is no Cell Phone Service in this area of the forest preserve.
UNSAFE BEHAVIOR
Sitting, standing or climbing on, over or across any exterior or interior railings, fences or other protective barriers, or tampering with resort’s equipment, facilities or systems is not permitted.
VENDOR MEALS
Dinner for musicians, photographers, wedding officials etc., will be served in an alternate location. If any of these service providers have dinner as guests at the reception, Wedding Guest rates will apply.
NOTE: All vendor meals will be served 15 minutes prior to the reception dinner.
WEDDING CAKE (Only Applicable if cake is NOT purchased from FMR)
The cake must be delivered on the day of the event, and set at the reception location by the person supplying the cake.
Full Moon accepts no responsibility for the set up or presentation of the wedding cake.
Full Moon’s Chef or Maitre D’ will cut the cake at no extra charge.
Any leftover cake, including “Topper” must be picked up prior to the end of service. Cake left after the end of service will be discarded.
Full Moon cannot supply storage for wedding cakes at any time during the event.
WEDDING CEREMONY
Full Moon is not involved in arranging any aspect of the wedding ceremony, other than the physical set up of chairs
WEDDING COUPLE: The following pertains to the wedding couple
It is understood that the wedding couple, like other guests, is responsible for paying for their accommodations and café meals (their “Guest Package.”)
It is understood that the wedding couple must be included in the Final Count as paid guests for the wedding event and for the BBQ (if applicable.)
Due to the arrival times of the next client and group, it is understood that the wedding couple will check out of their accommodations by no later than 11AM, along with all other wedding guests. However, it is understood that a one-hour grace period until 12PM is allowed for the wedding couple to finalize any necessary business prior to exiting the facility.
WELCOME PACKETS & DISPLAYS
The Front Desk will provide a master key in advance of Check In for placement of gifts or “welcome packages” in guest rooms. The Receptionist cannot distribute such packages to guests at arrival, nor may packages be left in the lobby or porch of the Inn for guest pick-up.
A Client-designed “Schedule of Events” may be left at the Reception Desk for guests.
Vendor Information
All vendors must report to the Front Desk upon arrival.
A member of our Event Management Team will oversee their setup.
OG: All vendors should report to the front desk on arrival so that we are aware that they are onsite. The front desk will direct them to the report location specified below. The 5 bedroom Moonlight Lodge is located 1/8 of a mile north of the Valley View House. It is a white Victorian country house including: full kitchen, sun porch, and telephone.
Rooms 1 – 3 are located upstairs. Rooms 4 and 5 (living room) are located on the first floor.
Room 2 is a smaller room and suggested for a single individual. If two guests are assigned to this room it is recommended that they have access to the shared spaces in the lodge for dressing and socializing.

Guests staying in this lodge should have transportation.

This lodge features 6 rooms with private bathrooms. Each room is accessed through a private entrance from the front porch.
It is located across the street and up hill from the main grounds. Guests placed here should either have transportation or be inclined to walking.
There is one step onto the porch and one step into the accommodation. This is a suggested location for guests with children or older adults.
Please be advised that if you select the living room “Futon Bed” as a bed, linens will be left for guests to make the futon into a bed.
Hair dryer available in all Morningstar bathrooms
Each room has a tiny mini-fridge, large enough for 2-3 bottles of water.
Portable cribs (measuring 28.25" wide x 31/25" high x 40" long) will fit in all of the Morningstar rooms if the futon couch is not made into a bed.
MOUNTAIN SKY COTTAGES (1-8)
8 individual one room cottages located on the Mountainside just north of the Roadhouse
Each cottage features a sitting area with a couch, private deck, picture windows with dramatic panoramic views, air conditioning, compact mini-fridge, and coffee maker.and custom tiled bathroom with over-sized shower & radiant heat
Parking is available near the cottages, with a short, but invigorating walk to and from the cottages.
Shuttle service for luggage is available at check in and after 9am on checkout.
Guests with mobility issues or difficulty with hills should not be placed in these accommodations.

NEW MOON LODGE
The eight bedroom lodge is located adjacent to the Moonlight Lodge, Mountainview, Evergreen and Night Sky Cottage.
The entrance for this lodge is up a hill onto the patio. Guests staying here should be inclined to walk up hill.
Rooms 1 & 2 are on the first floor and rooms 3-7 are located upstairs. There is a large communal living room and kitchen on the first floor.

NORTHERN LIGHTS LODGE
This 12 room lodge offers a mix of accommodations with shared hall and private bathrooms. Rooms 7-12 are located upstairs and are all shared bath.
Rooms 5 & 6 have a private entrance around the back of the building
Rooms 10 & 11 are suites consisting of two small bedrooms each. Guests must walk through the first room with the queen bed to get to the second room with the two twin beds.
Room #3 has the private enclosed porch. Porch is not heated
Room #4 has an open porch.
Rooms #4 & #5 have a connecting door that can either be left open or locked off.
One mini-fridge available on the enclosed porch/entrance for guests to use.

SATELLITE LODGE
Satellite Lodge is located 1/4 of a mile north of the Valley View House

VALLEY VIEW HOUSE
Valley View House has 9 guest rooms with 4 shared hall bathrooms. Each room has a sink and mirror. All rooms are located up one flight of stairs from the lobby.
This building is a central location for all guests. Those who are sensitive to noise and privacy should be placed elsewhere.
Two mini-fridges are available in the library of the Valley View House for guests to use.
Portable cribs (measuring 28.25" wide x 31/25" high x 40" long) fit in rooms #2 & 3.
YURT
The Yurt, a round tent like structure, does not have heat or plumbing. Electricity is limited to two outlets which supply a light and fan.
Guests staying in the Yurt may use the camper’s bathroom located in the Fireside Lodge.
Portable cribs (measuring 28.25" wide x 31/25" high x 40" long) fit in the yurt.
Room Assignment Charts
After all invoices have been created (usually two weeks following submission of the RAC), you will be notified and your guests may begin calling to confirm their reservations. The resort will also email guests a link for their specific reservation details to confirm online. The Front Desk is available between 10am and 4pm daily. Please inform your guests that FMR is a small business and is not always able to answer every call. If the answering service is reached, guests should leave their name, phone number and the wedding they are attending. All calls are returned within 24 hours.
NOTES
Accommodation Rates do NOT include Meal Package, 8% Sales Tax, 2% Ulster County Hotel Tax or 5% reservation processing fee.
Invoice totals will include Meal package and applicable taxes - Please see the Guest Package Rates Section of your contract for Meal Package pricing.
A $25 per person, per night surcharge will apply (12yrs +) if standard Occupancy is exceeded.
At your discretion, you may choose to split the charges equally between guests in a given accommodation. If you choose to do so, and any portion of the Guest Package charge is left unconfirmed and unpaid, you will be responsible for that portion of the charges. This policy applies even in cases where there is no “Accommodation Guarantee” (See Contract Section I).
FMR does not provide Cots or Cribs. Please See the “Building Info” page below for listing of rooms that are large enough to accommodate a guest supplied crib.

THE VALLEY VIEW PROPERTY
The Valley View Property includes all of Full Moon Resort's facilities as well as a variety of lodges and cottages including: Valley View House, Northern Lights Lodge, Morning Star Lodge, Mountain Sky 1-8, Streamside, Birdsong, Dancing Bear and Shady Grove Cottages, Fireside Lodge and the Esopus Yurt. The Campgrounds are also located at this area.
THE MOONLIGHT PROPERTY
The Moonlight Lodge, Evergreen Cottage, Mountain View Cottage, Night Sky Cottage and New Moon Lodge comprise the adjacent, affiliated, Moonlight Properties; located 1/8 of a mile North of the Valley View Property. This area is next to a residential neighborhood and should therefore be considered a "Quiet Zone." Please place guests accordingly.
